Privacy Policy — Hunter Portal

1. Who We Are and Scope
Syntropy LLC (“we,” “us,” or “our”) operates Hunter Portal at portal.themichaelhunter.com. This notice covers personal information handled through the Portal and related support communications. Contact us at hello@themichaelhunter.com.
This notice applies to this Syntropy-operated Hunter Portal. It is not a universal privacy policy for customer-owned portals. Each customer portal must name its actual operator and explain the providers, data flows, and choices used in that deployment.
This notice does not describe every feature of the public website, booking services, payment pages, courses, or other separately operated services. Those services need notices appropriate to their own activities. The current Portal is a controlled rollout for approved accounts, with inquiry records, contacts, submission history, and exports. Public website inquiry capture is not yet connected.
2. Information and Sources
Account and authentication information
Google provides account identity information such as your name, email address, profile picture when available, and a provider identifier. Supabase manages authentication and session information. We maintain account identifiers, access approvals and roles, and records of the Terms version you accepted and when you accepted it. We do not receive your Google password. The Portal's Google sign-in requests basic identity information, not access to your Gmail messages or Google Calendar.
Contacts and inquiries
Information entered by an authorized user may include names, email addresses, phone numbers, message text, additional form answers, source information, timestamps, contact status and assignment, and the identity of the submitting account user. We preserve separate submission history, including any marketing preference and the wording presented with that preference. A saved preference is not itself enrollment in an email service. The initial inquiry form is for synthetic testing.
Communications
If you contact us, we receive your email address, message, attachments you choose to send, and correspondence history. Please avoid sending sensitive information that is unnecessary for your request.
Technical information
Authentication and hosting providers may process IP addresses, request information, browser or device information, timestamps, and diagnostic or security logs when delivering their services. Necessary session cookies maintain authentication. These technical records are distinct from a behavioral analytics system.
3. Why We Use Information
We use information to authenticate users, determine approved account access, maintain contacts and inquiry histories, fulfill requested exports, respond to support requests, investigate errors or misuse, and maintain records of applicable agreements and preferences. We may also use or retain information to meet legal obligations and establish, exercise, or defend legal claims.
We do not currently run automated marketing, AI analysis, billing, or behavioral analytics in the Portal. Accepting the Terms or acknowledging this notice is not marketing or analytics consent.
4. Responsibilities for Information About Others
Syntropy LLC determines how account administration, security, and direct support information are handled. When a customer supplies information about its own contacts and determines the purpose for using it, that customer may have separate privacy responsibilities and we may process information on its behalf, as established in the applicable agreement and law. This notice alone is not a data processing agreement.
Syntropy handles the hosting setup and, where needed, database setup specified in each customer's service agreement. Not every portal uses Supabase or needs a separate database. Hosting and database ownership, access, and ongoing responsibilities must be identified for that deployment. Customers use their own accounts for customer-owned integrations and accept those providers' agreements themselves. If a customer authorizes Syntropy to configure or support its accounts, Syntropy may access the information needed for that work under the agreed scope. Customer ownership of an account does not mean Syntropy has no access or no responsibilities. The setup or support agreement must describe that access and any required data processing terms. A customer's deployed privacy notice must disclose the actual operator, relevant providers, and Syntropy's role where applicable; the provider table below must not be copied unchanged into that notice.
If you are a contact whose information was supplied by another account holder, you may contact us using Section 10. Where appropriate, we will coordinate with the organization responsible for that information rather than disclose another account's records.
5. Service Providers and Other Disclosures
The following table describes this Hunter Portal and its support email workflow only. Other deployments may use different providers and customer-owned accounts.

The current Portal application does not send automated email through Resend. Support communications can use the separately configured hello@themichaelhunter.com email workflow. The Portal currently does not send contact or inquiry data to SendGrid, Anthropic, Stripe, or an analytics provider.
Authorized personnel may access information as needed for the purposes described here. We may disclose information when legally required, to protect rights or security, or in connection with a business transfer subject to applicable safeguards and notice requirements. A customer's authorized account users may view and export that account's records.
We do not sell Portal personal information or share it for cross-context behavioral advertising. This statement is specific to Portal practices and does not make an unverified claim about all historic activities of Syntropy LLC.
6. Cookies, Analytics, and Preferences
The Portal uses necessary authentication cookies. Blocking them may prevent sign-in or continued use. There are currently no advertising pixels or optional behavioral analytics scripts in the Portal application. We do not currently track Portal visitors across third-party sites for advertising.
The Portal does not implement a separate response to the older Do Not Track browser signal. A Global Privacy Control signal does not authorize additional processing; we do not sell or share Portal information for targeted advertising. If we introduce processing subject to legally required opt-outs, we will implement the applicable choice and signal handling before doing so.
If optional analytics or marketing are introduced, they will be described separately and any required choices will be provided. A Privacy Policy acknowledgment is not a substitute for a specific consent where one is required. You can ask to change a marketing preference or stop optional communications by contacting us; necessary service messages may still be needed.
7. Location and International Access
We operate in the United States. Providers may process information in the United States or other locations where they operate. Processing locations and protections may differ from those where you live.
Where international-transfer requirements apply, an appropriate lawful transfer basis and required safeguards must be in place. This notice does not itself establish Standard Contractual Clauses, adequacy, or a data transfer agreement. Contact us for information about arrangements applicable to your account.
8. Retention and Deletion
We retain personal information only for as long as reasonably needed for the purposes described here, taking into account the nature of the information, an active service or inquiry, legal recordkeeping obligations, security needs, unresolved disputes, and applicable limitation periods.
- Account and access information: while access is needed, with relevant security or legal records retained as necessary after closure.
- Contacts and submission history: while needed to manage the account's inquiries and services, subject to valid deletion requests and any necessary legal retention.
- Acceptance and preference records: as needed to establish the version presented, the action taken, and applicable agreement or privacy obligations.
- Support communications: while the request or relationship is active and for any necessary follow-up or legal recordkeeping.
- Provider logs and backups: subject to the provider's configured retention and backup cycles and any applicable legal requirements. Deletion from the live database may not immediately remove copies from backups.
The current Portal does not offer automatic account deletion or a fixed automatic purge schedule. Send access, correction, or deletion requests to hello@themichaelhunter.com. We will assess what can be removed and explain any retention required or permitted by law. We will not use retained backup copies for new unrelated purposes.
9. Security
The Portal uses Google sign-in through Supabase, server-side access checks, and database row-level security to restrict records to approved accounts. These measures reduce risk but do not guarantee absolute security. You should secure your Google account and devices and use MFA where available; Portal access does not itself establish that your Google account has MFA enabled.
We do not represent that Syntropy LLC or this Portal is SOC 2 certified or audited merely because a provider may hold a certification. If a personal-data breach occurs, we will assess it and provide notices as required by the laws that apply to the incident.
10. Your Requests and Applicable Rights
Contact hello@themichaelhunter.com to request access, correction, an export, or deletion, or to ask about our practices. We may need to verify your identity and authority to protect information from unauthorized disclosure. Do not send a password or sensitive identity document unless we separately establish a necessary, appropriate method.
Depending on applicable law, you may also have rights to object to or restrict processing, withdraw a consent, limit certain uses of sensitive information, use an authorized agent, or complain to a regulator. Withdrawal does not affect the lawfulness of processing based on consent before withdrawal. We will handle requests within applicable legal deadlines and explain any permitted exception or extension. Exercising privacy rights will not result in unlawful discrimination.
California residents
Where the CCPA, as amended by the CPRA, applies to the relevant business and processing, rights can include knowing and accessing information, correcting inaccuracies, deletion subject to exceptions, opting out of sale or sharing, limiting certain uses of sensitive information, and non-discrimination. We do not sell or share Portal information for cross-context behavioral advertising. We do not ask you to waive applicable privacy rights as a condition of Portal access.
EEA and UK residents
Where relevant data protection law applies, the basis for processing depends on the activity: performing a contract with you where necessary, legitimate interests such as appropriate business administration and security, compliance with legal obligations, or consent for a specified optional activity. You may contact us about the basis and safeguards applicable to your information or complain to the relevant supervisory authority. Using the Portal or acknowledging this notice is not blanket consent to all processing or to an international transfer.
11. Children
The Portal is intended for adults managing business inquiries and services, and is not intended for children. Do not enter children's personal information into the Portal. If you believe a child has provided information, contact us so we can investigate and take appropriate action under applicable law.
12. Changes and Access to This Notice
Each published version will identify its effective date. We will provide notice of material changes and obtain any new consent required by law before relying on that consent. Continued use alone does not create consent for a new optional processing purpose. Our Terms and Privacy Policy will remain available through the Portal's legal links; contact us for a copy if you cannot access them.
